Email and enquiry automation
Every enquiry read, saved and answered, without anyone copying it out by hand. This website's own enquiries already work this way.
What is it?
Email and enquiry automation means new messages are read automatically, the important details (name, phone number, what they want) are picked out and saved, and a reply is drafted or sent. You stay in control of anything that needs a person.
What problem does it solve?
Enquiries arrive in an inbox and depend on someone reading, copying and replying to each one. On a busy day they pile up, details get typed wrongly, and a good lead can go unanswered for days.
Who is it useful for?
- โBusinesses that get enquiries through a website form or by email
- โAnyone copying enquiry details into a spreadsheet or customer list
- โTeams answering the same questions again and again
What does the automation actually do?
- โReads each new enquiry the moment it arrives
- โPicks out the details: name, contact details, what they need
- โAdds them to your customer list or spreadsheet
- โDrafts a reply in your own words, ready for you to check and send, or sends a friendly acknowledgement straight away
- โSets aside anything unclear for a person to check, rather than guessing
What can it connect to?
Website contact forms, Outlook, Gmail, Zoho Mail, Google Sheets and Excel, joined together with tools like Zapier or Make, with AI used to read and draft where it helps.
What does it involve?
The same simple steps for every job, with no jargon and no surprises.
- 1A quick chat
You tell me what's slowing you down, then show me on a short video call. About 10 minutes, no technical knowledge needed.
- 2A fixed quote
Within 2 working days you get a fixed price, a ceiling it can never go above, and a simple picture of the idea.
- 3Deposit, then the build
Quick fixes need no deposit. Automations need a 50% deposit to start. System builds are paid per stage, before each stage begins.
- 4Built and tested
I build it and test it on a working copy, never your live system.
- 5You see it working
I show you it working on a video call. You pay the balance once you're happy, then the files and guide are yours.
What I'll need from you
- โWhere your enquiries arrive now (form, email or both)
- โWhere you'd like them saved
- โA few example enquiries to look at on our call
- โWhich email account replies should come from
What happens after it's built?
Every automation comes with 30 days of free fixes (60 days on system builds) and a plain-English guide. After that, an optional monthly support plan covers quick fixes and genuine faults: Automation Cover from ยฃ15 a month, Bot Cover from ยฃ25 and System Cover from ยฃ45, with larger systems priced individually. I aim to reply within 2 working days. Bigger problems, or issues caused by how the system is being used, are quoted separately. Without a plan, support is ยฃ60 an hour in 30-minute blocks.
Your files stay yours. I handle any personal data as your data processor: only what the job needs, deleted when we're done. How I handle your data
Questions people ask about this
Will replies sound like a robot?
They're written to sound like you. Replies can be drafted for you to check before sending, or sent automatically for simple acknowledgements. You choose.
What happens to enquiries the automation doesn't understand?
They're set aside for a person to check. A good automation doesn't guess.
Do I need new email software?
No. It works with the email account you already use.
Will I need to pay for any other tools?
Sometimes. Some jobs need a tool like Zapier or Make. I explain this in your quote, and you set up and pay for those accounts yourself, so they're always yours.
Could this work for your business?
Tell me what's slowing you down. It's free to ask, there's no obligation, and you'll get a fixed price with a ceiling it can never go above.
